The Administrative Assistant is a full-time position which serves as the primary support to the Unit Supervisor and Case Managers Monday-Friday 7:45 am-4:30 pm. Responsible for greeting office visitors and provides general assistance and information regarding the child care program. Answers phone calls and routes to appropriate individual. Implements a method of tracking files and safekeeping records. Delivers incoming mail to appropriate individuals or departments. Collects outgoing mail and prepares for USPS or other delivery methods.

Essential job responsibilities

  • Works full time schedule, Monday-Friday, 7:45-4:30 pm, excluding paid holidays and approved time off.
  • Receives child care applications, registers in HANA system, and tracks the application process
  • Maintains the privacy and confidentiality in the performance of duties
  • Scan documents to Electronic Case Folders
  • Organize and maintain files including archiving of closed cases
  • Implement method for tracking files and safekeeping
  • Provides case management support to the Case Manager
  • Assists Case Manager in case file audits to ensure that all required documentation is in the client’s file
  • Sort and distribute incoming mail to appropriate departments or individuals
  • Collects outgoing mail and prepare for the postal service, courier or overnight service
  • Maintains inventory of office supplies and prepares monthly orders approved by Supervisor
  • Provides general information and assists applicants with the application process
  • Data entry of applicant/client information into the HANA system
  • Issues Electronic Benefits Card (EBT) for eligible clients and ensures quality control of EBT cards
  • Follows all ResCare and DHS policies and procedures
  • Completes all ResCare and DHS required trainings
  • Adjust to workload requirements to meet program demands
  • Performs similar or slightly more responsible duties as assigned
  • Prepares and Scan documents into electronic case folder
  • Other duties as assigned


The Administrative Assistant must be able to perform in a fast paced work environment with multiple priorities. This position requires excellent communication and organizational skills, demonstrated customer service skills, demonstrated knowledge in the use of office general office equipment including applicable software packages such as Microsoft Word and Excel. Ability to maintain professional working relationships with management, co-workers, clients and the general public. Must be able to handle sensitive materials and maintain confidentiality at all times.


High School Diploma or equivalent; some college preferred.
