Qualified applicants have the option of applying for:

  •  1 full-time position as both Finance and Funds Development Director
  •  1 part-time position as just Finance or Funds Development Director (identifying, writing and reporting on grants)
  • Grantwriter (Independent Contractor)

A Hawaiian nonprofit serving youth via culture-based music/multimedia programs at 23 schools across 4 islands seeks support for our financial planning and management, as well as the grant writing and reporting that sustains our programs. 

These positions work closely with the Executive Director, program staff, bookkeeper, an external accounting firm, and grant collaborators to meet commitments, track deadlines, and improve finance and grant systems.

Kuleana (Responsibilities) include, but are not limited to:

Finance Director (Part-Time)

  • Financial planning: Lead organizational and program/grant budgeting, forecasts, and financial analysis. Work with team leaders to plan expenses and review budgets against actual spending.
  • Financial oversight: Review financial reports, grant expense allocations, and coding with the bookkeeper and accounting partners. Help ensure that our books and reports are accurate .
  • Year-end and audit coordination: Oversee preparation for the annual close and audit, including the Schedule of Expenditures of Federal Awards and financial updates for leadership and the Board.
  • Cash flow and grant funds: Monitor the timing of grants, donations, expenditures, and drawdowns. Track remaining grant balances and help develop spending plans that meet funder requirements and program needs.
  • Fiscal compliance: Coordinate indirect cost rate related work, audit documentation, funding-related registrations, and other fiscal grant requirements with the responsible staff and outside professionals.

Grantwriter (Independent Contractor)

  • Finding potential grants: Searching for grants that fit current program priorities
  • Grant development: Lead the writing and submission of grant proposals, including narratives and budgets, with input from program staff, finance staff, executive team, and contracted support as needed.
  • Grant requirements: Coordinate application and reporting requirements with program and finance staff, including the information and documentation needed to meet federal and other funder requirements.

Funds Development Director (Part-Time)

Grantwriter kuleana as noted above, plus:

  • Grant reporting and administration: Coordinate funder communication, data collection, reports, deadlines, and the activities and outcomes Mana Maoli has committed to deliver; keep the appropriate staff informed of what is due and when; funder account maintenance
  • Other areas of Funds Development: As time allows, exploring and implementing additional areas of funds development, i.e. donor development, state and federal contracts, and fee-for-service options

Finance and Funds Development Director (Full-Time) - All kuleana listed above

Minimum Qualifications for all positions

  • Bachelor`s degree
  • Strong communication and organizational skills
  • Proficiency in MS Excel and Google Sheets
  • Sound judgment, attention to detail, confidentiality, consistent follow-through, and a collaborative approach.
  • A strong desire to serve Hawaiʻi`s youth and work with the Hawaiian community in a Hawaiian cultural context.

Minimum Qualifications by Position

Finance Director: 

  • 3 years of experience in financial/budget planning and analysis, including managing organizational or program budgets and reviewing financial reports 
  • Ability to track and adhere to the parameters, deliverables, spending plans, and deadlines of multiple grants

Grantwriter  

  • 3 years of experience in identifying and writing grants, with a track record of grant awards
  • Exceptional written communication skills 

Funds Development Director: Same as Grantwriter above, plus:

  • 2 years of experience in grants administration, including preparing grant reports and related collection and tracking of data and deliverables, and communication/coordination with other team members.

Finance & Funds Development Director: All of the above

Preferred Qualifications for all positions

  • Bachelorʻs degree or higher in a field related to the position you are applying for, i.e. Finance, Accounting, Business Administration, Public Administration, Non-Profit Management 
  • 5+ years experience in the role(s) you are applying for
  • Experience working with nonprofits, culture-based education, youth-serving projects and/or Native Hawaiian communities 
  • Experience with federal and/or other large grants
  • Familiarity with Hawaiian language, culture and/or values

Preferred Qualifications by position

Finance Director: 

  • Experience with nonprofit financial management and grant-funded programs.
  • Experience with audit preparation, the Schedule of Expenditures of Federal Awards, grant drawdowns, and/or indirect cost proposals.
  • Experience with oversight/coordination of bookkeepers, accountants, auditors, contracted grant writers, or other professional support.
  • Familiarity with QuickBooks or comparable accounting software and project management tools.

Grantwriter and Funds Development Director:

  • Experience with successfully writing large grants ($250k-$1M+ per year) 
  • Experience writing grants related to 1 or more of the following: Youth-serving, Native Hawaiian culture-based, music and/or digital storytelling projects

Finance & Funds Development Director: All of the above

  • Flexibility in scheduling - i.e. setting a weekly default schedule that works best for you (and can include evening/weekend hours for shorter or less weekday shifts), with the option to adjust your default schedule on any given week as needed
  • After initial training/orientation, a majority of work for all positions can be done remotely.
  • We aim for semi-annual raises, and bonuses 1-2x/year, pending performance and available funding

Additional Details

  • To mutually determine best fit, we have a rigorous selection process that typically includes:
    • Phase 1: Resume, cover letter, self-assessment
    • Phase 2: 1st round interview via Zoom
    • Phase 3: 1st round scenario exercise
    • Phase 4: Final round in-person interview (top 5 applicants), with potential to add a final round scenario exercise
    • Phase 5: Reference checks (top 2-3 applicants only)

  • Compensation varies greatly based on position/role, relevant experience and skills, and scope of work. At any point during our selection process, applicants are welcome to share their current as well as ideal and minimum starting rates, for feedback on whether we may potentially be in the ballpark of your stated range. While we cannot commit to a starting rate until after interviews and scenario exercises are completed, at a minimum to even speculate we would need to review your resume and cover letter.
  • Selection/Hiring Timelines: Our aim is to make 1st offer within 2-4 weeks, but is largely contingent upon common availability of applicants with the Selection Committee. We are prepared to go longer as needed to find the right fit.
