Assistant to Vacant Home Manager

Japanese Language Skills: Speaking, writing, and reading business level Japanese is REQUIRED for this job. 

We are seeking a detail-oriented, bilingual Assistant Property Manager to support the management of high-end residential properties, specifically focused on vacant home care and luxury concierge services for our Japanese-speaking clientele. You will act as the primary liaison for overseas owners, ensuring their Hawaii residences are meticulously maintained, secure, and ready for their arrival.


Key Responsibilities

  • Bilingual Communication & Reporting:
    • Serve as the primary point of contact for Japanese-speaking owners.
    • Provide regular property status updates and detailed inspection reports in both English and Japanese.
    • Translate maintenance proposals and legal documents as needed.
  • Vacant Property Inspections:
    • Conduct weekly or bi-weekly on-site walkthroughs of vacant luxury units.
    • Check for plumbing leaks, pest issues, security breaches, and appliance functionality.
    • Ensure the property remains in "arrival-ready" condition at all times.
  • Vendor Coordination:
    • Schedule and oversee contractors (landscapers, pool technicians, cleaners, and repair crews).
    • Obtain quotes for repairs and verify that work is completed to luxury standards.
  • Concierge & Arrival Services:
    • Coordinate "arrival prep" including grocery stocking, floral arrangements, and vehicle detailing.
    • Conduct pre-arrival and post-departure inspections to ensure a seamless experience for owners.
  • Administrative Support:
    • Assist with processing invoices, utility payments, and maintaining digital property files.
    • Coordinate with the Association of Apartment Owners (AOAO) regarding building notices or maintenance.

Requirements & Qualifications

  • Language: Native or business-level fluency in Japanese (speaking, reading, and writing) is REQUIRED.
  • License: An active Hawaii Real Estate License is highly preferred but not required.
  • Experience: 1–3 years in property management, hospitality, or real estate services.
  • Technical Skills: Proficiency in Microsoft Office (Excel/Word) and property management software 
  • Reliability: Must have a valid driver`s license and a reliable vehicle for frequent site visits across Oahu.
  • Physical Ability: Must be able to walk properties, climb stairs, and occasionally lift up to 25 lbs.
