Description:

Local real estate property management office looking for an experienced commercial property manager to join our growing team to manage various properties on the island of Oahu. Our team is committed to maximizing asset value, ensuring tenant satisfaction, and maintaining high standards of operations for property owners and investors.

Position Summary

The Commercial Property Manager is responsible for overseeing the daily operations and management of commercial real estate properties in accordance with the Property Management Agreement for each property and on behalf of the property owner. This includes all aspects of property operations such as lease administration, building operations, maintenance, repair, landscaping, security, budgeting, accounting and financial reporting, and tenant and client relations.

The Commercial Property Manager is also responsible for implementing and enforcing policies, procedures, and programs that assure a safe, well-managed, and well-maintained property. Acting as the designated leader of the property, the Commercial Property Manager is ultimately responsible for managing staff and contractors, being on-call 24/7, and ensuring properties operate at the highest standards.

Essential Functions & Key Responsibilities

Financial Management

  • Prepare annual operating budgets, monthly reports, and CAM reconciliations.
  • Analyze financial statements and prepare monthly variance and tenant reports.
  • Monitor income and expenses, approve invoices, and ensure adherence to budget.

Leasing & Marketing

  • Review and maintain all existing leases; prepare lease abstracts.
  • Support leasing efforts by performing market analysis and assisting with renewals and negotiations.
  • Maintain accurate rent rolls and ensure compliance with lease terms.

Record Keeping & Reporting

  • Maintain accurate property and lease files in accordance with company policy.
  • Prepare and maintain tenant correspondence, records, and file notes.
  • Provide timely and accurate reports to property owners.

Compliance & Risk Management

  • Conduct regular property and tenant space inspections to ensure compliance with Federal, State, and local regulations, including ADA requirements.
  • Enforce lease terms and notify owners of defaults.
  • Ensure properties are maintained in first-class condition.

Tenant Relations & Customer Service

  • Provide excellent tenant and client service by responding promptly to requests and issues.
  • Generate work orders and follow up to ensure satisfactory resolution.
  • Maintain strong tenant relationships to promote retention.

Property Maintenance & Repairs

  • Establish and implement preventive maintenance schedules for building systems and equipment.
  • Supervise repairs, capital expenditures, tenant improvements, and alterations.
  • Oversee vendor relationships, including security, maintenance, and landscaping services.

Minimum Qualification Requirements

  • 3–5 years of commercial real estate property management experience (required).
  • Bachelor`s degree from a four-year college or university (preferred).
  • Current Hawaii Real Estate License (required).
  • Proficiency in MS Office, Office 365, Word, Excel, and Outlook.
  • Familiarity with property management software (Yardi, AppFolio preferred).
  • Ability to lift 25 pounds and climb a 6-foot ladder.
