Responsibilities

As a Client Services Specialist at Journey Wealth Management, you`ll be an integral part of a fast-moving, high-performing team. Every task you take on will directly support our advisors and elevate the experience for our high-net-worth clients. Your role is essential, dynamic, and full of opportunities to shine:

  • Be the gateway to the firm—the first voice or face clients connect with, whether by phone, email, or in person
  • Set the tone for the day by opening the office, reviewing voicemails, and ensuring everything is polished and ready to go
  • Own the calendar by expertly scheduling and managing meetings for our advisory team, making sure everything flows without a hitch
  • Set our advisors up for success by confirming appointments and preparing client files with precision and attention to detail
  • Track high-stakes progress by submitting, monitoring, and following up on client applications that are central to their financial goals
  • Liaise with insurance companies and financial institutions to manage client matters with professionalism and urgency
  • Keep our CRM pristine, updating client data to reflect the most current and accurate information
  • Create a welcoming environment for meetings, complete with refreshments and thoughtful preparation that reflects our premium service
  • Manage critical communications by opening, sorting, and distributing incoming mail, and coordinating outbound bulk mailings
  • Keep us stocked and sharp by organizing office supplies and ensuring the workspace is always clean, professional, and client-ready
  • Power our outreach by assembling and supporting large mailings such as client newsletters and quarterly updates
  • Bring internal and client events to life by assisting with planning and coordination
  • Show up for high-impact moments, including occasional evening events (5:00 PM – 9:00 PM) where your hospitality and professionalism will shine

Qualifications:

  • Minimum 2 years of experience as a receptionist or administrative clerk
  • Strong computer skills (Microsoft Office Suite and CRM platforms like Salesforce)
  • Excellent communication skills (verbal and written)
  • Highly organized with strong time-management skills
  • Self-motivated and able to work independently and in a team setting
  • Experience in financial services is preferred but not required
  • Customer service mindset with a commitment to excellence

Compensation:

  • Pay: $25.00 – $28.00 per hour
  • Bonus opportunities available

Schedule:

  • Monday to Friday
  • In Office 8 -hour shift
  • Occasional evening or weekend events as needed
