ADMIN ASSISTANT, PROOF READER (FT/PT)

Position Summary:

Provide administrative and project support for a busy environmental consulting firm in Kailua, HI. 

Position does NOT have the option for remote hours. Candidate must work from the company office in downtown Kailua, HI and currently live in Hawaii, USA. Parking is provided. Work from 30-40 hours in a set weekly schedule, Monday to Friday during company business hours 8am – 5pm.

Primary and Essential Responsibilities:

  • 25% General administrative support for day-to-day front office operations, manage VoIP, accept mail/packages, book and track employee travel (neighbor island), and additional tasks as assigned. 
  • 25% Light bookkeeping and accounting duties; manage all incoming vendor bills, verify expense receipts, compile backup for invoicing, manage credit cards, take deposits to the bank, track COI, etc.
  • 50% Administrative and project support, including, but not limited to, proofreading, word processing, document formatting, preparing and reviewing report table of contents, spreadsheet tables, copying, collating, and binding reports, and additional project tasks as directed.

Minimum Requirements:

  • Education. 
    • High school diploma or equivalent.
  • Job Experience. 
    • 3+ years of in-office work experience related to the primary and essential responsibilities. 
  • Skills/Knowledge. 
    • Competent with general office tasks.
    • o Must be able to speak and write in English fluently.
    • o Skilled in MS Word for editing, formatting, and proofreading. Working knowledge of Microsoft Office programs (specifically Outlook, Word, and Excel).
    • o Excellent grammar, spelling, and attention to detail.
    • Good decision-making, problem-solving, and time-management skills.
    • o Requires effective written, oral, and interpersonal communication skills for interacting with supervisors, co-workers, and constituents.
    • o Able to learn and use other software and web-based business services essential to this position.
    • o Maintain and safeguard confidential employee and company information and other matters.
    • o Requires understanding of oral and written directions and the ability to follow those directions.

Physical Demands: 

  • Must be physically able to perform the essential duties of this position. 
  • Requires considerable sitting, standing, and walking; occasional lifting/carrying and pushing/pulling of supplies or equipment up to 50 pounds.
  • Requires extensive computer use working indoors under regular office conditions.

Communication Demands: 

  • Must be able to speak and write in English fluently.
