Administrative Assistant

We are a global sports startup developing a new platform that blends endurance sports, live experiences, media and technology into a single ecosystem. We are building a business with new ways for athletes and fans to train, compete and connect. A formal company announcement is coming soon. We are seeking an Administrative Assistant to support the leadership team and help manage the day-to-day administrative operations of the business.

Position Overview

This role is responsible for providing administrative support across a range of business functions. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. As one of the company's early hires, you will play an important role in helping establish the systems and processes that support the organization's growth.

Responsibilities

Manage executive calendars and schedule internal and external meetings. Coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries. Book conference rooms and coordinate meeting logistics. Prepare meeting materials and assist with meeting follow-up and action items. Organize and maintain the company's digital filing system and document directory. Maintain company records and administrative documentation. Manage Google Drive folder structures, file organization, and document permissions. Assist with expense reporting and administrative support for leadership. Coordinate shipping, receiving, and distribution of company materials. Assist with vendor coordination and general administrative needs. Support the planning and logistics of company meetings, off-sites, and team events. Coordinate onboarding logistics for new employees, including equipment and account setup. Assist with developing and maintaining administrative processes and procedures. Provide general administrative support across the organization as needed.

Qualifications

3–5 years of experience in an Administrative Assistant, Executive Assistant, Operations Coordinator, or similar administrative role. Excellent organizational and time management skills. Strong written and verbal communication skills. High level of attention to detail and accuracy. Ability to prioritize tasks and manage multiple projects simultaneously. Professional judgment and discretion when handling confidential information. Proficiency with Google Workspace, including Gmail, Calendar, Drive, Docs, Sheets, and Slides. Experience coordinating executive calendars and domestic and international travel.

Preferred Qualifications

Experience working in a startup or high-growth company. Experience supporting senior leadership or executive teams. Experience managing digital files.
