As an Administrative Assistant, GS-0303-7, you will:
Maintain the appointment schedule for the HRO and the DHRO.
Schedule appointments and meetings independently, based on personal knowledge of their workload and current issues of importance.
Advise the HRO and the DHRO of scheduled appointments and furnish information from files or schedules briefings by others in preparation for scheduled meetings.
Reschedule appointments when it is apparent that they cannot meet previous schedules. Attend meetings when required to maintain notes.
Prepare required slides for meetings.
Receive visitors and telephone calls for the HRO.
Assist in the development of policy letters.
Coordinate draft policy with other staff directorates prior to submission for final review and approval.
Maintain personal contact with HRO employees, functional managers (Army and Air), NGB personnel, and State personnel to discuss administrative requirements and services.
Provide technical advice and guidance and recommend methods and procedures where necessary.
Advise other administrative personnel of latest HRO directives regarding administrative procedures.
Review incoming correspondence, publications, regulations, and directives.
Prepare and/or review outgoing correspondence from the office of the HRO or subordinate branches for grammar, construction, proper format, attachments, continuity of text, policy and procedural adherence, and compliance with the HRO viewpoint.
Advise the originator of any discrepancies and provide necessary training. Maintain office files of correspondence, directives, regulations, and other information.
Maintain security of all keys and maintain appropriate records of keys issued to personnel.
Perform duties as HRO Publications Officer.
Coordinate with both Army and Air Force publications sources to accomplish ordering, locating electronic publications, updating, and maintaining a current and complete publications library for the HRO.
Submit work orders for repairs and maintenance on HRO office equipment and facilities.
Perform other duties as assigned.
