We are seeking dministrative Support professional:

The ideal candidate will have experience in travel coordination and/or timekeeping. Experience working in a higher education, research, or similar professional environment is preferred.

This is a hybrid position following the completion of training.

Key Responsibilities

Timekeeping Support

  • Manage timekeeping for staff, including sending pre- and post-payroll reminders for unreleased and unapproved timesheets.
  • Assist employees and supervisors with timesheet corrections and coordinate necessary updates with internal stakeholders.
  • Ensure compliance with established timekeeping procedures and policies.
  • Serve as the primary point of contact for payroll and timekeeping-related inquiries.
Travel Coordination Support
  • Process conference attendance requests and ensure all required approvals and documentation are completed.
  • Serve as the primary point of contact for travel and conference-related inquiries.
  • Manage travel requests and expense reports, including:
    • Coordinating domestic and international travel approvals.
    • Researching travel options and arranging airfare, hotel accommodations, and rental vehicles.
  • Ensure travelers complete required safety, security, and compliance training as applicable.
  • Track travel authorizations and expense reports to ensure timely processing.
  • Advise employees on organizational travel policies and procedures.
Required Qualifications
  • Associate degree preferred.
  • Minimum of 4 years of relevant administrative experience in a fast-paced professional environment.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to work independently with minimal supervision while maintaining accuracy and meeting deadlines.
  • Excellent customer service skills with the ability to build positive working relationships across all organizational levels.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), email, and web-based applications.
  • Ability to learn new software applications and maintain electronic records and databases.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated attention to detail, dependability, and proactive approach to supporting teams.
Preferred Qualifications
  • Experience supporting travel administration, payroll, or timekeeping functions.
  • Experience working in a higher education, research, government, or similar professional environment.
