Job Description: Insurance Assistant (Processing Specialist)

Location: Kailua-Kona, Hawaii 96740

Reports to: Executive Vice President or Agency Leader

Department: Administration

FLSA Status: Non-Exempt

Job Purpose

The InsuranceAssistant contributes to the success of the company by providing administrative support to ensure efficient operations in the office. This role handles organizational and clerical tasks, supports executives with scheduling, manages information confidentially, and ensures smooth office workflows. Key Responsibilities

  • Respond to Lenders requests for additional coverage information
  • Submitting to carriers endorsement requests such as adding a location or insured
  • Generate invoices for premiums
  • Obtain loss runs from carriers
  • Process binders, policies, endorsements, audits renewal quotes, etc.
  • Invoice AP or RP when necessary
  • Deliver documentation to client (policies, endorsements, auto ID cards, audits)
  • Send payment reminders and follow-ups to clients
  • Obtain payment and policy status from carriers
  • Sort and scan mail to be sent out
  • Provide backup to other Processor staff
  • Input direct bill company mail
  • Process all PFS notices
  • Process Evidence of Insurance or Certificate of Insurance
  • Update Applied Epic with all current policy/client information
  • Process returned mail

Qualifications

Education & Experience

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Prior customer service experience is preferred.

Knowledge, Skills & Abilities

  • Proficiency in Windows and Microsoft Office Suite.
  • Ability to effectively use general office equipment.
  • Excellent verbal and written communication skills.
  • Strong presentation skills.
  • Excellent problem-solving and time management skills.
  • Ability to be a cooperative team player, highly motivated, and maintain a positive attitude.
  • Ability to read, analyze, and interpret common business and legal documents.
  • Demonstrated ability to make sound judgments and decisions with professional etiquette.
  • Self-driven with the ability to recognize process improvements and take initiative.

Working Conditions

  • Work is primarily office-based with extended periods of computer use.
  • May require occasional overtime during peak periods or special projects.
  • Must be able to pull or lift up to 15 pounds at times.
