JOB SUMMARY:

We are looking for a Claims Assistant to support our professional claims team within Venbrook Claims Services. In this role, you will perform essential administrative and clerical functions that keep claim files organized, communications timely, and daily operations running smoothly. POSITION REQUIREMENTS:

Attention to Detail: Consistently produces accurate, complete work product. Catches errors in claim file documentation, payment processing, and correspondence before they escalate. Takes ownership of data integrity across all assigned files.

Organization & File Management: Maintains orderly claim files in accordance with department procedures. Manages competing priorities effectively, meets deadlines, and keeps multiple active files current without dropping details.

Communication Skills: Communicates clearly and professionally in written and verbal form. Conveys claim status, coverage information, and next steps to insureds, claimants, and internal stakeholders accurately and accessibly.

Customer Service Orientation: Approaches every interaction with professionalism and empathy. Responsive to inquiries from internal and external clients, understands urgency in a claims environment, and is committed to a positive experience for all parties.

Process Adherence & Reliability: Follows established claims handling guidelines, best practices, and compliance requirements consistently. Understands the importance of procedure in a TPA environment and executes with discipline.

Team Collaboration: Supports claims staff proactively and engages as a dependable team member. Willing to assist where needed, takes direction well, and contributes to a positive team dynamic.

Adaptability: Thrives in a fast-paced claims environment where priorities shift. Adjusts approach as caseloads, client requirements, or operational needs evolve without losing focus or quality.

DUTIES/RESPONSIBILITIES:
  • Set up new claim files following department procedures and established best practices.
  • Process claims payments and handle special mail requests accurately and on time.
  • Communicate with insureds and claimants using claim file documentation as the basis for all correspondence.
  • Provide basic claim status and coverage information to internal and external stakeholders.
  • Assist with preparation of monthly and quarterly client and management reports.
  • Maintain professional liability manuals and ensure reference materials remain current.
  • Support claims adjusters and supervisors with administrative tasks as assigned.
  • Perform general clerical functions including data entry, filing, scanning, and correspondence.
  • Adhere to all Venbrook Claims handling guidelines, compliance standards, and client-specific requirements.
  • Participate in team priorities and take initiative to support department goals.
REQUIRED SKILLS/ABILITIES:
  • Proficient in Microsoft Office Suite, with strong Excel skills
  • Familiarity with claims management systems or TPA platforms preferred
  • Typing speed of at least 50 WPM with 95% accuracy
  • Strong written and verbal communication skills
  • High attention to detail and accuracy in data entry and documentation
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Professional demeanor when interacting with insureds, claimants, and clients
  • Experience using standard office equipment
EDUCATION & EXPERIENCE:
  • High school diploma or GED required; Associate's or Bachelor's degree preferred
  • Minimum of one year of clerical, administrative, or customer service experience required
  • Prior experience in a claims, insurance, or TPA environment strongly preferred
  • Familiarity with property and casualty insurance concepts is a plus

PHYSICAL DEMANDS:

While performing the duties of this job, the employee may exert up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift and/or move objects. The employee is regularly required to reach with hands and arms; use hands and fingers to grasp, use repetitive motions; talk and hear. The employee is frequently required to stoop. The employee is occasionally required to climb, balance, kneel, crouch, crawl, stand, walk, push, pull, lift, and feel. This job requires the employee to have close visual acuity.

WORKING CONDITIONS:

While performing the duties of this job, the employee is not substantially exposed to adverse environmental conditions.

Hourly Range : $24- $26 per hour based on experience
