The Impact Youll Make:

  • Optimize Leave Administration: Help manage the day-to-day leave administration, partnering effectively with our Third-Party Administrator (TPA) and expertly navigating complex FMLA/State statutory leaves.
  • Ensure Compliance: Lead the testing and administration within the HRIS for ACA 1095/1094 reporting, enrollments, life events, and generate critical benefit reports.
  • Drive System Efficiency: Maintain HRIS integrity and actively contribute to the automation of future benefits processes.

Preferred Skills:

  • 4+ years in Benefits/HR, with at least 2 years dedicated to Leave Administration.
  • Expertise in managing third-party leave administrators (TPA).
  • Deep functional knowledge of federal and state statutory leaves (e.g., FMLA, paid sick leave laws, parental leave).
  • Strong experience with benefit administration and maintenance within an HRIS system (data integrity, testing, report generation).
  • Demonstrated ability to manage all aspects of ACA compliance and reporting (1095-C administration, processing, testing, filings).

Position is Monday through Friday from 8 am to 5 pm with the ability to work additional hours as project needs demand. Position is remote and incumbent should be located within the Arvest 4 State Footprint (AR, KS, MO, OK).

Summary: As part of the Total Rewards Team, the Benefits Analyst is primarily responsible for administration of the Arvest Benefits Programs. The incumbent will coordinate with vendors on outsourced benefit plans and will provide support on internal administration of health, welfare and retirement plans. The Benefits Analyst will work with other business units including Payroll, Leave Department and HR managers to assist with associate life events that may impact benefit eligibility. The incumbent will research benefit trends and provide recommendations to ensure that the company remains competitive to attract and retain top talent. This includes the ability to provide analysis and consultative support, manage multiple tasks and priorities, respond quickly to emerging issues, and communicate effectively with all stakeholders.

Essential Duties And Responsibilities Include The Following. Other Duties May Be Assigned:

  1. Oversee vendor partnerships for outsourced benefit plans such as medical, dental, vision, life insurance, long term disability, flexible spending accounts, health saving accounts and/or retirement plans to ensure service level agreements are being met. Facilitate scheduled calls and annual meetings to review plan changes and renewals.
  2. Create documentation on processes and procedures for benefit administration and update/maintain as part of change management. Maintain files (physical and electronic) according to records retention schedules.
  3. Maintain benefits data in the Human Resources Information System (HRIS) according to data governance policies and procedures and generate regularly scheduled and ad hoc reports. Participate in process automation initiatives by working with HRIS and Information Technology to refine processes, standards and workflows to ensure efficiency and accuracy. Monitor data file transfers to identify any discrepancies or process improvements and assist with audit requests.
  4. Provide second level support to moderate associate inquiries via phone, email and online relative to benefit plans, eligibility, plan participation, plan cost or claims. Coach associates appropriately to utilize associate self-service systems and vendor tools and resources effectively.
  5. Work with the Associate Communication Team to provide ongoing communication and training on system utilization and benefit education tools and resources.
  6. Audit associate enrollments (new hire and open enrollment), separations and life event changes in benefit plan participation; research any discrepancies to service partners; and confirm any changes to associates. Analyze information to identify proactively the documentation needed and understand the system dependencies between the HRIS system, payroll and vendor file feeds to ensure accuracy.
  7. Process service partner invoices and track administrative and insurance expenses.
  8. Administer the annual compliance notices to ensure accurate distribution based on regulatory notices from Internal Revenue Service (IRS), Employee Retirement Income Security Act (ERISA), Health Insurance Portability and Accountability Act (HIPAA), Affordable Care Act (ACA), Consolidated Omnibus Budget Reconciliation Act (COBRA) as applicable.
  9. Assist with Health Plan and/or Retirement Plan committee meetings including scheduling, taking minutes and managing appeals and fund changes as applicable.
  10. Facilitate the annual Health Assessment and Flu Shot clinics company-wide working with third party vendors and HR managers to coordinate schedules and communications.
  11. Participate in special projects, recurring and non-recurring, such as plan design changes, acquisitions, vendor implementations, file feed testing and on-going maintenance, process improvements, user acceptance testing, etc.
  12. Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.
