Position Overview:

The Administrative Assistant position is responsible for overall support of Hawaii Island Operations.

Essential Duties:

  • Performs administrative tasks: Processes mail, answers phones, data entry, travel planning, typing and report preparation. Orders, receives and purchases materials, supplies and equipment. Responsible for petty cash.
  • Maintains Hawaii Island job folders of material certifications, correspondence, etc. Completes various reports. Assists Paving Administration as needed.
  • Dispatches trucks, weighing incoming and outgoing. Coordinates daily asphalt production and trucking requirements with foremen and plant operator. Provides customer service and assistance on sales and phone inquiries. Reports, tracks and maintain various plant files. Assists Accounting Department as needed.
  • Records and reports on fuel consumption, operating hours, plant production, generator hours. Conducts monthly visible emissions readings, records equipment maintenance and plant repair for Kona plant and maintains records and reports in compliance with DOH permit requirements. Assists Environmental Manager as needed.
  • Administers ISO environmental compliance issues.
  • Prepares, processes, maintains safety and compliance reports. Schedules for drug tests and assists Human Resources Department as needed. Assists with CDL compliance requirements.
  • Performs other duties as assigned.
  • Promotes awareness of and follows Company and general safety policies.
  • Exhibits a core understanding of mutual respect and good customer service orientation in interactions with all people in the workplace.
  • Assist with any other project-related functions as deemed reasonable.

Working Conditions:

  • Work hours are 7:00am to 3:30pm Monday through Friday, however, must be able to work evenings, weekends, holidays, overtime depending on operational needs.
  • Inter-Island Travel based on operational needs.
  • Must be able to work at multiple sites.

Mental and Physical Demands:

  • Good analytical, organizational and administrative skills.
  • Ability to work independently and complete tasks in a timely manner.
  • Keen attention to detail.

Communication Demands:

  • Excellent interpersonal skills to ensure effective internal and external communications.
  • Excellent writing skills.
  • Internal Contacts: All levels of Management, Operations.
  • External Contacts: Subcontractors, general contractors, job owners, vendors.

Minimum Qualification Requirements:

Skills/Knowledge:

Math: Excellent math skills to review and analyze financial data and perform calculations related to daily tasks.

Reading: Must be able to read and understand job requirements.

Licenses: Valid driver's license and favorable traffic abstract.

Education: High school diploma, college degree preferred.

Experience: 5 years relevant experience in construction administration.

Other: Working knowledge of Word, Excel, Email; aptitude to learn in-house systems; keyboarding skills sufficient to complete daily tasks in a timely manner.
