Description:

Nesco Resource, a national staffing company, has teamed with a leading energy client in order to identify a Specialist- Utilities Documentation - Hybrid. Candidate will support a regulatory-driven documentation update effort within the Natural Gas Operations group. This is a high-visibility role focused on overhauling and restructuring 66+ operational forms and rebuilding a 500-page core document repository to improve consistency, usability, and ensure regulatory alignment across the organization.

Client is looking for a true "wizard-level" Microsoft Office and Adobe professional, not administrative support. The ideal candidate will be able to independently assess, redesign, and modernize complex documentation environments. While Utility or natural gas experience is strongly preferred, it is not absolutely required. The individual will be exposed to maps, schematics, and technical system documentation and to support transmission gas operations.

  • Interview Process: virtual- 2 interviews- video via Teams and then onsite
  • Type of hire: Contract- 6 months to start with probable extensions
  • Reason for Open Position: Recently lost FT headcount, overflow of work
  • Shift/Schedule: Mon-Fri, hours flexible (ie. 6am-3pm, 7am-4pm, etc)
What are the major objectives of the role?
  • Looking for someone who is extremely capable in Microsoft Office, specifically Word, Excel, Adobe. Someone who is familiar with maps, can read schematics, has a background in gas and/or gas engineering or a background in the utility field in general. If they have experience with GIS systems or computer software/systems this is preferred.
Responsibilities/Job Description:
  • Update, edit, and restructure documents in Excel, Word, and Adobe (PDF) to improve clarity, usability, and efficiency.
  • Streamline and modernize forms: reorganize layout, simplify flow, reduce duplication, and enhance user navigation.
  • Standardize formatting, naming conventions, headers, footers, and version control.
  • Build or refine templates, checklists, and operational forms for field and office use.
  • Review existing documentation to identify inefficiencies and implement improvements to content, structure, and workflow.
  • Convert outdated documents into digital, fillable, or more accessible formats (e.g., PDF forms, editable tables, automated Excel sheets).
  • Maintain organized archives and ensure documents are accurate, consistent, and up to date.
What are the MUST HAVE Professional or Technical skills for this position?
  • Technical Review & Interpretation
  • Proficiency with Microsoft Excel, Word, and Adobe Acrobat (PDF editing).
  • Read, understand, and can work with maps, schematics, and technical drawings, particularly those used in the natural gas or utility industry.
  • Interpret geographic and system data to support field operations and supervisors.
  • Assist with organizing system maps, updating references, and ensuring accuracy of technical materials.
What are the NICE TO HAVE skills for this position:
  • Familiarity with GIS tools or mapping software.
  • Understanding of utility operations, construction workflows, or field documentation.
  • Experience creating or maintaining standard operating procedures (SOPs).
  • Prior experience in the natural gas industry or another utility field (electric, water, etc.) strongly preferred.
What are the SOFT SKILL that are no brainers:
  • Can collaborate with supervisors, field staff, and operations teams to understand documentation needs.
  • Maintain clear communication and assist in preparing materials for audits, regulatory reviews, or internal use.
  • Strong attention to detail and organization skills are a must
  • Ability to work independently
Please prioritize candidates with strong document restructuring experience and any utility operations exposure before submitting.

Primary Function 70%

The team currently relies on a mix of paper forms and Excel-based documents to collect and manage operational data. Many of these forms are outdated and inconsistent.

This individual will:
  • Overhaul and modernize 66 core operational forms
  • Redesign and standardize formatting (headers, footers, naming conventions, version control)
  • Reorganize and improve usability of forms to support regulatory compliance and operational clarity
  • Convert paper-based processes into structured digital formats (Adobe fillable forms, structured Excel tools, editable templates)
  • Rebuild and streamline a 500-page main document repository (project due by year end)
  • Ensure consistency, accuracy, and alignment across all documentation
  • This is not basic editing of the documentation- manager needs someone who can assess structure, identify inefficiencies, and redesign documents for clarity and workflow efficiency
Secondary Function 30%

In addition to documentation modernization, the role supports threat identification and risk mitigation efforts by:
  • Reviewing and interpreting maps, schematics, and transmission gas system documentation
  • Working with cross-functional groups to collect and format operational data
  • Supporting ad hoc data review and documentation requests
  • Assisting in maintaining accurate system records and references
  • Contributing to improvements in how geographic and system data are documented
  • Candidates should be comfortable reading utility maps and understanding spatial relationships within a natural gas system.

  • Advanced users of Microsoft Excel, Word, and Adobe Acrobat
  • Highly organized with exceptional attention to detail
  • Comfortable restructuring complex documents for clarity and usability
  • Experienced in natural gas or utility environments (electric, water, etc.)
  • Able to read maps, schematics, or technical drawings
  • Familiar with regulatory-driven documentation environments
  • Capable of working independently and managing a large-scale document overhaul
Preferred but not required:
  • GIS familiarity
  • Experience supporting transmission or field operations
  • Experience modernizing legacy documentation systems
