Title: Benefits Coordinator
Location: Grand Prairie, TX 78154
Duration: 6 months contract with possible extension
Pay rate: $25-$27/hr. on w2


Job Summary


The Benefits Coordinator supports the Total Rewards function by administering employee benefit programs, ensuring compliance with applicable regulations, and delivering high-quality service to associates. This role manages benefits transactions, maintains accurate data in HR systems, resolves associate inquiries, and partners with internal teams and vendors to ensure smooth benefits operations.

Key Responsibilities

Benefits Administration & Transactions

  • Process benefit enrollments, qualifying life events, terminations, and employment status changes in accordance with plan rules, ERISA, and HIPAA.
  • Maintain accurate benefits records in HR systems and vendor platforms.
Associate & HR Support
  • Respond to associate and HR inquiries related to benefits plans, eligibility, and processes via email, phone, and case management tools.
  • Provide clear guidance on benefits-related policies and procedures.
Systems, Audits & Compliance
  • Audit benefits data to ensure accuracy and compliance.
  • Support compliance with HIPAA, COBRA, QLEs, and Qualified Medical Child Support Orders (QMCSOs).
  • Maintain confidentiality of sensitive employee and benefits information.
Open Enrollment & Wellness Programs
  • Support annual open enrollment activities, including system testing, data validation, and associate support.
  • Serve as the primary contact for the wellness program, including audits and surcharge reporting.
Vendor & Financial Coordination
  • Investigate and resolve vendor discrepancies and file feed issues.
  • Prepare and submit monthly benefit invoices and partner with Finance on reconciliation and audits.
Leave of Absence Support
  • Coordinate with the Leave Management team to update benefits at the start and end of leaves.
  • Communicate with employees on leave regarding premium payments and benefit reinstatement or cancellation.
Documentation & Reporting
  • Create and maintain SOPs, process documentation, and job aids.
  • Fulfill reporting and data requests for audits, vendors, and internal stakeholders (e.g., census data, Medicare reporting).
Qualifications:

Education
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
Experience
  • 3-5 years of experience administering employee benefit plans in a corporate environment.
  • Experience with benefits billing and reconciliation.
  • Strong working knowledge of HIPAA, PHI, QLEs, and COBRA requirements.
  • Experience with HRIS platforms such as SAP SuccessFactors and vendor portals like BenefitFocus preferred.
Technical Skills
  • Proficiency in Microsoft Excel, Word, Outlook, and Teams.
  • Ability to analyze data, generate reports, and support file feeds/data integrations.
