About the Role:

Join our dynamic supply chain team by playing a pivotal role in expediting and overseeing the deliverables of key equipment and materials required for the successful completion of purchase orders, contracts, and projects. Your role is critical in proactively managing potential risks and ensuring seamless collaboration with stakeholders at all levels.

Key Responsibilities:
  • Proactively monitor and manage allocated equipment, materials, and logistics to guarantee timely delivery aligned with project timelines.
  • Coordinate vendor equipment and material documentation, ensuring complete and approved submissions, including plans, specifications, and data requirements.
  • Maintain continuous review of vendor schedules, inspection plans, and reports to prevent delays.
  • Facilitate and document regular vendor and project meetings, providing detailed reporting on equipment/material status to stakeholders.
  • Assist in invoice verification for accuracy and support resolution of logistics issues such as freight claims and shipment discrepancies.
  • Alert project teams of any commercial or technical issues, ensuring proactive resolution.
  • Manage logistics, coordinating with construction teams to ensure readiness and equipment availability for deliveries.
  • Maintain organized electronic records for efficient purchase order and contract closeouts.
  • Regularly report to team leads and managers on project progress, providing insights for process improvement.
  • Mentor new hires and project team personnel in the current expediting processes.
Collaboration With:
  • Work closely with Senior Expediters, Supervisors, and Team Managers for guidance and support.
  • Maintain regular communication with vendors and internal/external stakeholders such as engineers, consultants, contractors, logistics, and other supply chain team members.
Qualifications:
  • Minimum of 8+ years of experience in a fast-paced environment with a solid understanding of expediting best practices, logistics, and project documentation.
  • Experience in expediting mechanical packages and a broad range of equipment including pumps, condensers, and pressure vessels.
  • Strong interpersonal skills capable of building and maintaining robust relationships.
  • Demonstrated ability in multitasking, managing timelines, and resolving issues effectively.
  • Knowledge of engineering and vendor documentation, with strong attention to detail and communication skills.
Preferred:
  • Familiarity with MS Windows, Outlook, Office Suite, and tools like SharePoint, Oracle Cloud, and Salesforce.
  • Post-secondary education in related fields such as Project Management, Supply Chain Management, or Business Administration is an asset.
