Are you ready to dive into a dynamic role with Hawai'i Island Community Health Center (HICHC)? We're looking for an enthusiastic Administrative Assistant to support our finance department under the guidance of our Chief Financial Officer (CFO). If you love organizing, multitasking, and have a knack for light accounting and billing, this is the perfect opportunity for you!

What You'll Do:

  • Provide top-notch administrative and clerical support to the CFO and finance team.
  • Manage calendars, arrange meetings, and keep everyone on track with reminders.
  • Take minutes at finance-related meetings and ensure deadlines are met for reports and renewals.
  • Act as a liaison between the CFO, staff, and other departments for smooth communication.
  • Organize and manage accounting and billing files, assist with data entry, audits, and annual reporting.
  • Help maintain office equipment and coordinate travel arrangements for staff.
  • Handle departmental supplies, purchase orders, and develop forms and documents.

What We're Looking For:
  • High School graduate or GED certificate required; relevant associate degree preferred.
  • Experience in health or finance fields is a plus, but training will be provided.
  • Valid Hawai'i driver's license and current auto insurance.
  • Proficiency in Office 365 Suite (Excel, Word, Publisher) and other software (accounting software like MIP preferred).
  • Excellent verbal and written communication skills, organizational and multitasking abilities.
  • Sensitivity to the multicultural nature of our service area population.
  • Ability to maintain discretion and confidentiality.

Physical Requirements:
  • Able to sit and work at a computer for extended periods.
  • Able to stoop, kneel, bend at the waist, and reach daily.
  • Able to lift up to 25 pounds occasionally.

Personal Characteristics:
  • Organized, team player, high integrity, excellent communication and customer relations skills.
  • Regular work attendance in office setting, courteous and friendly, able to work well with diverse groups.

Confidentiality:
  • Maintain a high level of confidentiality with personal and professional data.

Work Environment:
  • Moderate noise level, no known environmental hazards, sometimes stressful.
  • Mostly inside work with normal office safety precautions.
  • Opportunity to receive Hepatitis B vaccination series, Tdap or Td vaccines, and annual influenza vaccine.
  • Annual PPD testing required.

Work Hours:
  • Hours may occasionally exceed 19 hours per week and may increase over time.

Mental Demands:
  • Attention to detail, alertness, problem-solving, tolerance to deadline stress, and sound judgment.

Travel:
  • Occasional local travel may be required.
