DRY DOCK - SENIOR DOCUMENT CONTROL SPECIALIST (Regular Full Time)
Location: HDCC

We are looking for a Senior Document Control Specialist for our joint venture Dry Dock project located at Joint Base Pearl Harbor Hickam located on Oahu, Hawaii.

The Senior Document Controls Specialist works closely with the project management team and engineers to maintain all project related documents related to the project. This position plays an active role in ensuring all daily PDM functions are being performed in accordance with PDMP procedures and project requirements in a timely and efficient manner.

Primary Functions & Responsibilities:

  • Process and review submittals and inputs into different Electronic Document Management Systems (EDMS), sort project's hard copy files per the project file index.
  • Input documentation and transmittals into the owner's EDMS. Maintain project FTP site.
  • Receive, log, and track plans and specifications as received including all revisions. Upload plans and specifications to contractor personnel as well as subcontractors.
  • Ensure the PDM procedures follow all contractual requirements and other governing requirements.
  • Develop procedures in conjunction with other project departments for the electronic transfer of deliverables.
  • Process and maintain files for change order requests, change orders, contracts, scope changes, and payment applications in an orderly and updated manner into EDMS.
  • Process all drawings, specifications, reports / studies, and calculations to ensure they are logged and accessible within the EDMS and distributed using approved distribution matrices.
  • Process all drawings and data received from subcontractors and consultants to ensure they are logged and accessible within the system and distributed using approved distribution matrices (includes Quality documentation).
  • Process other miscellaneous revision-controlled project documents and data to ensure they are logged and accessible within the system and distributed using approved distribution matrices.
  • Process letters or other project correspondence to ensure they are logged and accessible within the system and distributed using approved distribution matrices.
  • Process Minutes of Meetings and other communications to ensure they are logged and accessible within the system and distributed using approved distribution matrices.
  • Support Construction Manager, Superintendents, and Construction Engineers in regards to logs, submittals, and Request for Information (RFIs) in a timely manner.

Knowledge & Skills Used:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals and maintain confidentiality of sensitive documents and information.
  • Ability to write routine reports and correspondence. Ability to speak effectively before group situations to customers, clients, and other employees of the organization.
  • Proficient in use of Microsoft Office (Word, Excel, Outlook), Adobe Acrobat and document management software.
  • Knowledge of engineering drawings and related documents.

Required:

  • Bachelor's degree in business administration or associate's degree with 3+ years' experience or High School diploma with 5+ years' experience.
  • Minimum 5 years of experience in document control.
  • Ability to work in a fast paced environment, committed to supporting the document control team using strong written verbal and written communication skills.
