Hawaii's only firefighter credit union is seeking candidates to fill the position of ADMINISTRATIVE ASSISTANT, which is a key position providing overall administrative support for the credit union.

Our Administrative Assistant will also focus on day-to-day administrative responsibilities of the credit union. Those responsibilities include coordination of Board meetings, management functions, internal meetings, corporate/business events, and community functions all in cooperation with all areas of the credit union, its staff, and departments. Your utmost focus and effort will be to prioritize the highly-confidential nature of the position. Our office hours are from 7:45 am to 4:15 pm on weekdays generally; there may be late days on Board meeting evenings (once per month) and periodic community events on weekends.

We're looking for confident, self-starting candidates who are capable of delivering superb administrative skill, including these expectations:

  • Handle all aspects of the position with a high degree of confidentiality and discretion.
  • Schedule, coordinate, and facilitate: Appointments, meetings, and/or travel arrangements.
  • Act as the staff and organization’s liaison with senior management and CEO.
  • Prepare a variety of correspondence, reports, presentations, and documents.
  • Manage and route administrative “traffic” to those involved and/or required.
  • Manage vendor relationships related to administration duties.
  • Prepare and maintain reports and filing/tracking systems related to administration responsibilities such as personnel records, training records, and other corporate records.
  • Ensure management is kept informed of the status of administration responsibilities.
  • Monitor and reinforce “house rules” and other administration expectations.

Our best candidates will maintain a positive work atmosphere by acting and communicating in a manner that shows confidence and professionalism with members, co-workers, management, vendors, and other contacts. In addition, you'll be comfortable and confident in your knowledge of administrative duties, credit union policies and procedures.  Candidates should meet these qualifications:

  • Some administrative experience a must.
  • Familiarity with financial services and/or credit unions preferred, but not required.
  • Communicating ability should be top-notch; Maintain accuracy, confidentiality, and professionalism in a variety of written and verbal methods.
  • Reasoning ability should also be stellar; Solve practical problems and deal with a variety of issues, many times without standardized input or outcomes.
  • Interpersonal skills a must; Exhibit honed and high-performing approach for interacting and empathizing with senior management, Board members, staff, and others.
  • Microsoft Office Suite and other office hardware and software familiarity required.
  • Access to personal vehicle and current driver's license required.
  • Must become a notary public within 9 months of hire.
  • Must be bondable.
  • High school diploma or equivalent required.
  • 12 to 24 months related experience or equivalent combination preferred.

Work hours are generally weekdays, from 7:45 am to 4:15pm. We observe state and federal holidays.
